Diary Coordinator

Location: Wembley Admin Centre, Sudbury, Middlesex

Job Type: Full-time, permanent

Salary: £33,365.49 per annum

We're looking for an organised, calm and caring individual to join our team at Wembley Admin Centre as a Diary Coordinator, making sure every funeral runs smoothly behind the scenes and every person in our care is looked after.

Our Mission: To help every family in Britain navigate the hardest moments of life with simplicity, dignity, kindness and exceptional care.

Our Vision: The UK's leading end-of-life company, helping 1 in 3 people across the UK to plan for and deal with death.

Why This Role Matters

At Dignity Funeral Directors, every farewell is handled with compassion, dignity and care. Behind each one is careful planning: the right people, the right vehicles and the right paperwork, in the right place at the right time. That's where you come in.

Your Impact and Responsibilities

You'll keep our funeral operation on track. From the moment someone is brought into our care until they leave it, you'll know where they are and what's needed next. You'll plan rotas, coordinate our fleet and colleagues, and get the details right, so our teams can focus on the families they're serving.

As a Diary Coordinator, you will:

  • Create and manage rotas for colleagues and fleet, based on funeral volumes.
  • Make the best use of our vehicles and people so every funeral is covered.
  • Oversee funeral bookings, removals and the transfer of the deceased to branches, churches or homes.
  • Track every person in our care from collection until they leave our care.
  • Organise documentation and liaise with third parties, such as doctors, so everything runs smoothly.
  • Put together staff and garage orders and communicate them clearly to colleagues.
  • Spot unnecessary costs and suggest practical ways to save.
  • Keep working practices, facilities and equipment to the highest Health and Safety standards.
  • Support out-of-hours duties when funeral services need it.

Skills and Knowledge

  • Experience planning rotas or schedules for people, vehicles or resources.
  • Highly organised, with excellent attention to detail.
  • Calm and composed, able to juggle changing priorities in a fast-paced environment.
  • A clear, confident communicator on the phone, in writing and face to face.
  • Comfortable liaising with third parties, such as doctors.
  • A practical problem-solver with an eye for efficiency and cost.
  • Knowledge of workplace Health and Safety.
  • Reliable and flexible, including outside standard hours.
  • PC literate — Microsoft Office, Outlook and internal systems (training provided).

No previous funeral experience is needed. If you've coordinated schedules, fleet or logistics in another sector, we'll give you full training and support.
